How to Place & Receive Calls
Desktop
To Place a Call:
- Open Microsoft Teams
Click Calls (left navigation)
- Use one of the following:
- Dial pad → Enter number
- Search bar → Type a name or number
- Call from Chat (Top right of your chat window)
- Click Call
During a Call You Can:
Mute / Unmute
Turn your camera on/off
Share your screen
Transfer the call
Place the call on hold
Open dial pad
Mobile (Teams App on iPhone/Android)
- Open the Teams app
- Tap Calls
Tap the phone with the plus sign to bring up the:
- Dial pad
- Contacts
- Recent call
- Press Call button
You can receive calls anywhere you have data/Wi-Fi.
Teams-Certified Desk Phones
- Lift handset or press speaker to get a dial tone.
- Use the dial pad to enter the phone number
- Search directory
- Transfer or hold using on-screen buttons
Call History, Contacts & Speed Dial
Call History
- Open Teams
- Click Calls
Select History
You’ll see:
- Missed calls
- Incoming
- Outgoing
Voicemail
Contacts
Teams pulls contacts from:
- Outlook
- Microsoft 365 directory
- Saved Teams contacts
To search:
Use the search bar at the top
Call Management Features
Transfer a Call (Blind Transfer)
Transfers the call immediately without speaking to the recipient first.
- During an active call, click Transfer
- Type a name or phone number
- Select the person or number
- Click Transfer
Consult Then Transfer (Warm Transfer)
Allows you to speak with the recipient before completing the transfer.
During an active call, click Transfer
Select Consult then Transfer
Select the person
Speak with the recipient
Click Transfer to connect the caller
Best practice for:
- Client or external calls
- Escalations
- Sensitive or complex matters
Put a Call on Hold
Click Hold
- Caller hears hold music
Click Resume to continue
Park a Call
Call Park allows another user to retrieve the call using a code.
To Park a Call:
- During an active call, click More ( … )
Select Park
Teams displays a retrieval code
To Retrieve a Parked Call:
- Go to the dial pad
Select Parked Calls
- Enter the park code
Press Pick Up
Voicemail Usage
Access Voicemail
- Open Calls
Click Voicemail
Select a voicemail to see the details in a pane on the right
Playback
Click play
You can call back directly from voicemail
Transcription
Teams automatically convert voicemail to text.

Change Voicemail Settings
Click the Ellipsis (the three dots) at the top right of the screen
Click Settings (gear icon)
Select Calls
- Go to Voicemail
Options include:
- Custom greeting
- Call answering rules
- Forward to email
Basic Troubleshooting Guide
Poor Call Quality
Check:
✔ Internet connection
✔ Wired connection preferred over Wi-Fi
✔ Close heavy bandwidth apps
✔ Restart Teams
✔ Restart computer
Audio Issues
No one can hear you?
- Confirm correct microphone selected
- Check mute button
- Test device in Settings → Devices
You can’t hear others?
- Check speaker selection
- Volume level
- Headset plugged in properly
