Outlook Desktop
Option 1 – Auto-Added (Most Common)
If you were given access recently, the mailbox may automatically appear.
Steps:
- Open Outlook
- Look on the left-hand side under your mailbox folders
- Locate the shared mailbox (it will appear under your main mailbox)
Option 2 – Manually Add Shared Mailbox
Use this if the mailbox does not appear automatically.
Steps:
- Open Outlook
- Click File
- Click Account Settings → Account Settings
- Double-click your email account
- Click More Settings
- Go to the Advanced tab
- Click Add
- Enter the shared mailbox name or email address
- Click OK
- Click Apply → OK → Next → Finish
- Restart Outlook
Outlook Mobile App (iPhone & Android)
Add Shared Mailbox
Steps:
- Open the Outlook app
- Tap your profile icon (top left)
- Tap the gear icon (Settings)
- Tap Add Mail Account
- Tap Add Shared Mailbox
- Enter the shared mailbox email address
- Tap Add
